 The type of personal information we collect

We currently collect only your email address if you provide us for use on the planning portal or when booking an event slot.

   We currently collect only the information you provide us when winning a prize. Such as address, name and email address.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

·       If booking a slot we ask for an email address in order to contact you regarding the event.  We only send emails if dates change or we need to confirm slots in the event of overbooking.

 ·       If you use the Simfest planning portal for PSX we maintain a list of all flights flown for contingency fuel analysis as well as allowing you to view all your flights on the dashboard. These are only identified by email address which you use to register if using the portal.  If you do not wish this to be identified to you then please sign up with a free text string in replacement of email address.

 ·       Winning a prize

We do not share this information with anyone.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us at simfestprizes@gmail.com

 How we store your personal information

Your email address for the portal and slots is securely stored on a database hosted on a dedicated server in the UK.

We keep slot information until after the event occurs. 

Any details of flights within the planning portal on PSX will be held until you ask us to remove your account. We will then dispose your information by deleting it from the database.

Any personal data submitted for prizes is held in a secure google spreadsheet which only the simfest prizes google account has access to. This is shared with only those on the crew involved in printing the postage labels for physical prizes or liasing with vendors for virtual prizes.

Once the giveaways have been sent out the google sheet is deleted along with all of your personal data.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
